Project Tracking System

Web-Based Project Tracking System that will change the way you do business!




We have developed a completely web-based Project Tracking System that will allow you to efficiently manage all of your projects and clients. The system is packed with powerful tools that will increase your productivity and profit margin.


The project Tracking system includes: (scroll down for screen shots)

  • Unlimited Project Managers/ Employees
    • The PTS will grow as you grow. You will not be limited in any way. You can add as many projects to the system as you need. You can have as many employees/ users for the system. The PTS will not limit you in any way.

  • Secure Employee and Client Login
    • You will set your clients up with a username and password that they can use to access the system from any computer with an internet connection. This goes for your employees and project managers as well. You can manage all of your projects from anywhere in the world.

      Users can update or change their login information at anytime and the login screen has a password reminder tool in case they forget their information.

  • Dedicated Project Message and Response Boards
    • Once a project is set up in the system, you will be able to create any number of different conversations or threads related to the project.

      From the project manager side, you can set up "canned" or templated response messages that will allow you to quickly communicate with the client and answer their questions.

      The project manager or the client can create different conversations and threads at anytime.

  • Development Bug Posting and Message System
    • In the same way you create conversations or threads about the project, there is a Bug tracking system built in to manage any ongoing support issues or development bugs.

      This system is separate from the normal posting system because bugs need immediate attention and will show on the project managers project overview board.

  • Email Notification of new posts and bugs by project managers or clients
    • Anytime a post is made in the system, the receiving party will immediately receive an email with the posted information.

      If a client makes a post into the system, the assigned project manager will receive an immediate email with the posted information. To increase efficiency, each email also contains a reply link that will take the respondent to the exact thread and posting form.

      The same thing happens when the project manager responds or posts comments to the system.

      When a bug is posted, an email is also sent to the project manager. When the project manager marks a bug as fixed, an automated email is sent to the client letting them know the bug has been fixed.

  • Project file storage and upload
    • The transmission of a file is a very important part of the development process. With each post, the project manager or the client has the ability to upload files to the system. This will save them the hassle of trying to email large files and dealing with picky mail servers.

      All project files are stored in that project's File Storage area and are also tagged with the name of the person who uploaded them. This makes it very easy to reference back to past mock ups or client project outlines.

  • Complete Administrative control for adding projects, clients, and project managers:
    • As the admin of the site, you make all the rules. You can add project managers to the system and assign them to projects. You can give certain permissions to your employees, allowing them to add projects to the system. You have control over adding client logins and controlling all billing and invoicing.

  • Invoice and Billing Module & Online Invoice Payment Integration:
    • The system not only handles all project communication and file management, but it can also handle all invoicing and payments.

      From the project management login, you can create invoices and assign due dates for payment. The client can login and choose an invoice to pay and use their credit card right from the PTS. The system integrates with any merchant account and will track all payments that are made.

      From the client overview page, the client will see outstanding invoices and any past due amounts.

  • Project Manager Report Screens:
    • The project managers will be able to get a quick view of all the projects that have been assigned to them and at a glance be able to see if there are any new posts, bugs, or invoice payments.

      The project managers can sort and assign their projects into different groups to help them organize their work space.

  • Built in Client Survey System:
    • This built in tool will allow you to collect valuable testimonials and work related feedback from your clients. By making this a regular part of business, you can ensure your clients are having a positive interaction with your company and create usable testimonials for marketing.

  • Project Progression and Time Meters
    • By entering the project start and proposed finish date, the graphic time meters will show you the progress of the site verses the progression of time. This will be an easy visual reminder of the status and progression of the project.

  • Automated Back-Up System
    • At a set time interval of your choice, the system will automatically back up all projects and files and save them to a separate compressed directory. If the system ever crashed, you can easily restore the system to full operation.

  • Project Archiving
    • Once a project has been completed, you can archive the project to get it out of the main work screens. None of the files or correspondence will be lost and you can reactivate the project at anytime.

  • Automatic System Fix and Tech Support
    • We know how important this system will be to the operation of your firm. We have built in an automatic tech support system that checks the PTS for any errors and reports them to us immediately so we can fix them.

  • Peace of Mind
    • With the PTS there will never be a situation of lost information or problem of not being able to verify a project spec, request or approval. The system saves all posts.

Project Selection Screen:
Clients with more than one project with you will be able to get a quick overview of each project and then click in for work related to a particular project.


Client Overview Screen:
The client will be able to quickly navigate to all the different areas of the PTS.

Communication Screen:
Once a project is selected, the Client or Project manager will see a quick view of all the different threads and have the option to respond to a thread or Post a New message.


Post a Reply Form:
Directly below the last post will be a reply form that will allow you to post your message and upload corresponding files. Whenever you or the client make a post, an email will be sent to the respondent with the posted message and a quick link to the reply form.


New Threads:
Creating a new message is just as easy... You simply name the new thread, post your comments and the communication is integrated into the system. Whenever you or the client make a new post, an email will be sent to the respondent with the posted message and a quick link to the reply form.


Client Account Info
The client can update their account info and choose their preferences at anytime from the PTS account screen.

File Storage
Any files uploaded to the system will be organized under File Storage. When a post is made with an attached file, the respondent does not have to login to receive the file. A quick link to the uploaded file will be in the message.

Invoice Payment
You will be able to post invoices to each of your clients project accounts. The invoice will also appear on the overview page and based on your payment due date, it will instruct the client how overdue the payment is without you having to make any phone calls.

Payment Detail
When the client clicks on an invoice from the list, they will see the detail of what the invoice is for and what they need to pay. We will connect your company's merchant account so the client can pay the invoice right from the Project Tracking system.

Collect Your Praise!
Each project can have a built in feedback form that will allow you to collect those valuable testimonials.

Project Manager Overview
When the project manager logs in, they will see an overview of all of their projects, be able to add more projects, sort projects by group and drill down into each projects communication area.

The overview will show them which accounts are paid and what projects have new posts and bugs.

New Projects
With a standard quick form you can add as many projects to the system as you want and assign that project to project managers, developers, customer services, etc.

Invoice overview
You will also have an invoice overview page that will allow you to track all payments and invoices.
